As an Office & Facilities Specialist, your impact will be:

Reception & Guest Experience

• Manage and staff the reception desk, welcoming visitors, candidates, vendors, and external guests with a professional, warm, and positive experience.
• Maintain an organized, welcoming, and high-standard reception environment.

Office & Facilities Management

• Ensure the seamless day-to-day operation and physical management of our 5-floor Israel office.
• Own the office ticketing system and serve as the primary contact for employee workplace requests, tracking issues through resolution.
• Manage operational tasks for employee onboarding and offboarding in close collaboration with internal teams.
• Identify recurring facilities issues and proactively build processes to prevent them.

Kitchen, Office Supplies & Inventory

• Oversee inventory ordering and management for all kitchen hubs and office supply stations across all 5 floors.
• Monitor consumption patterns, control inventory levels, and review costs to optimize spending and reduce waste.
• Establish organized, automated replenishment processes.

Vendors & Cleaning Services

• Direct daily vendor relationships, coordinating deliveries, logistics, and maintenance tasks across the building.
• Work closely with the cleaning service provider and on-site crew to maintain high standards of cleanliness.
• Monitor vendor service quality, addressing issues end-to-end to drive efficiency and cost-effectiveness.

Meetings, Offsites & Hospitality

• Coordinate catering, food, and hospitality logistics for on-site meetings, offsites, and internal gatherings.

What you need to succeed in this role:

• 2+ years of relevant experience in office management, including hands-on facilities management experience.
• High proficiency and fluency in English (written and verbal) for collaboration with global teams and stakeholders.
• Proven experience managing facilities ticketing systems, inventory management, and vendor logistics.
• A proactive, service-oriented mindset with strong problem-solving and organizational skills.
• Familiarity or interest in leveraging technology, process automation, and AI tools to streamline everyday operations.
